Software Training is Important . . .

That's we hired a guy off the Dean's List to do it

Trevor Morris was sweet on rice at a recent visit to Marine Foods Express, Ltd. of Houston. Marine Foods is an Edible client.

Trevor Morris is just what the doctor ordered when it comes to software training. He directs the customer service and training team at Edible Software. "A little time and patience is all it takes to master Edible," he says.

"Some people have a real knack for computers," says Trevor. "They dive right in without a fear in the world. For others, the learning curve is a little steeper. That's OK," he says. "We've taught hundreds of people who never met a computer before in their lives how to use Edible Software. It's not hard."

Trevor is a graduate of University of Houston where he earned a B.S. in psychology and  - as our headline reads- he was a member of the Dean's List.

Trevor, whose father, Henri, is founder and president of Edible Software, was born in Cape Town, South Africa and moved to Houston as a baby with his family. He joined the Edible Team more than five years ago, starting in sales, then moving into training and support management.

"The best part of my job is getting customers up and running on Edible," he says. "It's fun seeing the difference the right accounting software can make to a company's bottom line." Trevor even claims that Edible Software can improve your health. "With the right software running, stress levels go way down."

Trevor has been married for six years. In his free time, he plays basketball and also a mean hand of poker. Does he always win? "Of course," he says.

CRUN-N-NCH!!

Four Unexpected Times When the Wrong Accounting Software Can Cream Your Growing Company, BIG-TIME!

  1.  When your Customer Base Grows - Generic accounting software can make invoicing new clients hard (if not impossible) to keep up with. Customer base up and profits down? It's not supposed to happen that way.
  2. When You Bring On New Hires -- Maybe you don't notice the limitations of off-the-shelf accounting software when you have only a handful of employees, but ratchet up the personnel list and you've added a whole new level of complexity. A growing employee base means more staff needs more access to more data. Accounting packages like QuickBooks and Peachtree struggle to keep up.
  3. When You Expand -- Talk about complexity! Add an additional location to the mix and you're asking your one-size-fits-all accounting system to do a man's job when the boy is barely past puberty. Put another way: Ever seen how well a 6-cylinder engine powers an 18-wheeler?
  4. When You Try to Satisfy Uncle Sam - Aren't taxes enough? "No," says  Uncle Sam. "Now, you must comply with my brand-spanking-new 2008 country of origin (COOL) farm bill in order to keep e-coli and salmonella out of the hands and mouths of vulnerable taxpayers -- so that means you must track the origin and destination of every item you sell!" Our advice? Don't waste time wondering how off-the-shelf software systems will live up to these demands. They can't and they won't.

Want more information about ways a well-run, growing company can fall victim to generic, off-the-shelf accounting software -- and what you can do to stop it? Call us at (832) 200-8000 and ask for Henri or Charles.

Who are this month's photo stars? Some of you have called asking who our monthly Smackdown photo stars are. All we know about these ladies is,  they're from some place in Texas and they have a beef with each other.

PROUD FOOD MOVE

Edible Software® Relocates, Expands New Corporate Home in Houston's Westchase District

"Thanks to the growing demand for Edible Software's products and services we're continuing to expand -- and now we've moved into a building of our own," says Edible President and CEO Henri Morris.

It's the new Edible Software World Headquarters and it's located in Houston's busy Westchase District, says Henri. The Westchase District is a commercial hub known as the home of many technology firms as well as oil and gas companies.  "It's where 'Silicon Valley' meets the Energy Corridor," says Henri, who oversaw a wall-to-wall interior redesign and renovation of his new company home before the Edible team moved in on June 25.

"Now, we can stretch out," he says. "We have a state-of-the-art training room and a spacious work area for our engineers and support staff. It's fun to show We'll be having a an official housewarming party in a few weeks - but in the meantime - our door is open to all Edible friends. Please stop by for a tour or check us out here.

INTRODUCING . . .

Our Edible Marketing Machine
His name is Charles A. Butler, III ("Charles" works, too)
VP of Sales and Marketing

Favorite Part of His Job: Demonstrating Edible Software by phone. "I'm a teacher at heart. We've got technology that makes it possible for someone thousands of miles away to see Edible working right on their computer in front of them while we're both talking on the phone."

Hobby: Eating. "I'm a 'foodie," says Charles who claims to have eaten himself into a "steak coma" once or twice and experienced a few sugar highs along the way. "When I see something sweet, it's like waving drugs in front of a junkie."

Personal:  He married his high school sweetheart, Allison, almost three years ago.  He maintains the website for the church where his father serves as deacon.

Job History:  He directed ("basically that means I was a teacher") public safety programs for the Texas Alcoholic Beverage Commission.

College Ties:  Texas Longhorns!  "I'm a Texas-ex and my blood runs burnt orange, not red."

Sports: Watching the Longhorns play football and working out at the gym ("gotta take care of the steaks and cake").

Charles Butler, right, demonstrates Edible Software at a trade show. He also conducts killer telephone demonstrations.

Edible gives away free stuff - July only

Who doesn't like to get something free? Especially when you realize (1) it costs everybody else $5,000, (2) it saves your team a lot of time and (3) and it increases profits. What a deal!

So, here goes: We are so eager to spread the good news about wholesale food-specific Edible Software that we're giving away Edible's exclusive On-Line Entry Module - EdibleNet® to any wholesale food distributor who purchases at least a 5-user package during July only.

What does EdibleNet do? It enables your customers to place orders over the Internet, 24-7. Don't worry - only approved customers can access Edible Net. When they do, they can view the status and details of previous orders and have the convenient option of reviewing all the standard inventory items they usually purchase. EdibleNet makes ordering so easy most customers end up buying more.

This is a perfect gift for any company thinking about buying Edible Software.  And, by the way -- we're not kidding --  EdibleNet really does cost $5,000 any other time. Call Charles if you're interested. Find him at (832) 200-8000 or email cbutler@ediblesoftware.com.

REVEALED

The Absolute Worst Mistake You Can Make  . . . When Buying Food Accounting Software

Hands-down (no exceptions), the worst mistake a wholesale food distributor can make when selecting accounting software is to buy the one-size-fits all variety like the kind sold at Office Depot and Best Buy. Here's three reasons why:

1. You lose all hope of maintaining inventory control. No off-the-shelf software is capable of calculating the multi-unit-of-measure, and/or the constant--and multiple -- fluctuating costs of food products that our industry must deal with every day.

2. You make it easy for employees to steal. All it takes is one or two dishonest workers to make big trouble. Generic software can be their helpmate. One-size-fits-all accounting software cannot provide detailed information about actual amounts, units-of-measure and turnover speed. This leads the door wide open for thieves to help themselves to your inventory -- little by little, day by day. Meanwhile, you're wringing your hands in the back office wondering where your profit went.

3. You may turn into a lawbreaker.

You? Break the law? Let's be clear: It is not against the law to buy off-the-shelf accounting software, but it is unlawful not to provide mandated information to Uncle Sam. Beginning in September, the new USDA Farm Bill kicks in. Every distributor in our industry will be required to comply with the country-of-origin (COOL) program, a level of inventory control that generic software like QuickBooks and PeachTree cannot handle.

Want to know more about off-the-shelf accounting software systems and how they can make you a sitting duck for trouble? Call us at (832) 200-8000.

What do good tomatoes have in common with good accounting? "Plenty," says Henri Morris.

Good Tomatoes and Good Accounting? There is a Connection

The connection between good tomatoes and good accounting surprises some food distributors, but it shouldn't. The fact is, we can provide traceability from the field to the dinner plate if we barcode the produce. No, not barcoding the individual tomatoes - but the pallets, with the point of origin specified.  That way, when it's time for trace-backs, the data is available at lightning speed.

With the right accounting software, you can:

-- Instantly de-activate the affected products within their systems once the various governmental authorities signal a problem.

-- Instantly identify each and every customer to whom any tomato (or other food product) has been sold.
-- Isolate and identify each and every customer once the suspected vendors are identified.

Edible Software can instantly trace  products back to originating vendors, and at the same time identify each customer to whom that product was sold. We can show you how before the next crisis comes. Call us at (832) 200-8000, or email me at hmorris@ediblesoftware.com or . . . learn more here.
